Position Overview
As the Brand and Communications Operations Manager at IM, you will play a critical role in driving execution, accountability, and operational consistency across the department. You will serve as the operational backbone of the department, driving department projects, workflows, and processes that keep work moving forward and ensure priorities translate into high-quality, timely execution. Your work will strengthen visibility across initiatives, reduce friction, and support effective collaboration across teams and leadership.
Key Responsibilities
- Lead department-wide project management and workflow coordination, ensuring work is clearly scoped, tracked, and executed on time
- Build and maintain systems, processes, and operating rhythms that improve visibility, accountability, and efficiency across communications and marketing workstreams
- Manage and optimize the department’s Asana environment, including templates, timelines, task tracking, and workflow structure
- Provide executive and operational support to department leadership, including meeting preparation, calendar coordination, and tracking follow-ups and decisions
- Support conference and event operations, including logistics, timelines, materials preparation, and coordination with internal and external partners
Qualifications & Skills
Required Qualifications
- At least 5 years of relevant experience in project management, department operations, program management, executive operations, communications operations, marketing operations, or a related field.
- Demonstrated success building, managing, and improving workflows, systems, and processes in a fast-paced, collaborative environment.
- Strong project management skills, including the ability to coordinate multiple priorities, track dependencies, maintain timelines, and ensure follow-through across complex workstreams.
- Strong proficiency with cloud-based systems and collaboration tools, especially Google Workspace, Asana, Slack, Zoom, Notion, and other tools used to support department workflows, content operations, and cross-functional coordination.
- Excellent organizational skills and attention to detail, with the ability to manage multiple moving pieces while maintaining clarity and focus.
- Ability to work independently, exercise sound judgment, and follow through on assignments with minimal direction and supervision.
- Experience working in a team-oriented, relationship-building, collaborative environment.
- Must reside in and be legally authorized to work in the USA.
Preferred Qualifications
- Experience providing executive support, including calendar management, meeting coordination, and preparation for senior leaders.
- Experience supporting workflow coordination, timelines, approvals, and operational processes for social media, blogs, websites, or other digital communications channels.
- Experience supporting operations for a communications, marketing, brand, editorial, creative, or similarly cross-functional team.
- Experience with department budget tracking, expense reporting, or administrative operations.
- Experience supporting digital workflow tools, publishing operations, or cross-functional systems that help manage approvals, timelines, and launch readiness.
- Familiarity with nonprofit, education, or mission-driven organizations.
- Experience working in a remote environment.
